To provide, maintain, and enhance the Service, we must collect certain information from you. The Service cannot operate as intended without this data. Such information is collected either directly from you or automatically through your use of the Service.

a. Information You Provide Directly:

  • Text and Files: We collect any text you enter, paste, or upload, as well as documents, images, and audio files (such as PDFs, text files, JPEGs, and MP3s) you submit for analysis.
  • Web Content: We process URLs you provide, including website links and YouTube videos, and extract text or transcripts for analysis.
  • Prompts, Notes, and Queries: We store questions, instructions, and commands you submit to the Service, along with any notes, titles, and search queries you create or enter.
  • Preferences: We store your selected language and analysis options to tailor your experience.
  • Account Information: When you register or log in, we collect your name, email address, and login credentials. If you sign in with social media accounts (like Google), we may access basic profile information from those services.
  • Payment and Subscription Information: If you make a purchase or subscribe, we collect necessary billing details (such as name, billing address, and payment method), but sensitive payment data is processed securely by PayPal.
  • Public Content: If you post questions, answers, reviews, or other content in public areas, that content is collected and may be displayed to others.
  • Reward and Loyalty Data: We collect data related to rewards, points, badges, or similar identifiers linked to your account.

b. Information We Collect Automatically:

  • Usage and Log Data: We collect information about your activity, such as the pages you visit, features you use, actions you take (e.g., creating projects, submitting queries), timestamps, and session duration.
  • Device and Technical Data: We collect information about your device, browser type, IP address, operating system, time zone, and related technical data to help secure our Service and troubleshoot issues.
  • Location Data: We may collect or infer your general location (such as city or country) based on your IP address.

If you use integrated features (such as Google login), we may receive information from those third-party services as authorized by you.

Our Service is not intended for use by children under 16. We do not knowingly collect personal information from children.

f. Sensitive Data:

  • We do not collect sensitive personal data, such as health, biometric, or government-issued identification information. Users should not submit such data through the Service. If such data is provided unintentionally, it is deleted and not processed further.

3. How We Use Your Information

Your data is used exclusively to operate, deliver, and protect the core functionalities of the Service.

  • To Perform Analysis: The sources, prompts, and notes you provide are processed to generate the analysis and responses you request.
  • To Manage Your Account: Your user ID or session ID is used to manage your account, deduct credits, calculate costs, and enforce limits based on your subscription plan.
  • To Communicate with You: We use your contact information to send essential service notifications, respond to support requests, and deliver updates related to your account or projects.
  • To Provide Customer Support: Information you provide is used to respond to your questions, resolve issues, and improve your experience.
  • To Improve and Diagnose the Service: We use usage and technical data to troubleshoot problems, detect errors, and analyze how features are used, helping us enhance and optimize the Service.
  • To Protect Our Services: We monitor activity to detect and prevent fraud, abuse, or unauthorized access, and implement rate limiting to maintain fair use and availability (e.g., limiting requests to 2 per minute).
  • For File Management: Uploaded files are saved on our server and temporarily processed to enable requested features. If a file expires, the system securely re-uploads it to ensure seamless continuation of your work.
  • Project Caching (Optional): For advanced projects, you may opt-in to temporarily load source documents into the AI’s high-speed memory for up to 15 minutes to accelerate analysis.
  • For Legal and Compliance Purposes: We may use your information to comply with legal obligations, enforce our terms, or respond to lawful requests from authorities.
  • With Service Providers: Some data may be shared with trusted service providers (such as payment processors or analytics providers) as needed to operate and secure the Service. Data is only shared for these purposes and not for unrelated use.
  • We do not engage in automated decision-making or profiling that produces legal effects or significantly affects you.

4. Data Sharing and Third-Party Services

To function, our Service needs to share your data with trusted third-party services under specific circumstances.

  • AI Model Services: All your sources (files, text, links), notes, and prompts are sent to trusted AI service providers, such as Google Gemini and OpenAI, to perform analysis and calculate usage costs. Your user ID or session ID may also be shared for security and abuse prevention.
  • Automation and API Services: We use our secure intermediary server to process complex requests or relay data to AI providers, including features like retrieving YouTube transcripts or supporting advanced analysis.
  • Location Service: For logged-in users with web search enabled, your IP address may be sent to a location service provider to determine your approximate location for results customization.
  • Content Delivery Networks (CDNs): We load website resources (fonts, icons, scripts) from third-party CDNs. These services may receive your IP address and device details as part of standard internet communication.
  • Payment Processors: If you purchase or subscribe, your billing details are processed securely by payment processors (such as PayPal), which receive your information as required to complete the transaction.
  • Analytics and Tracking Providers: We use analytics and tracking services (such as Google Analytics, PixelYourSite) to understand usage patterns and improve our Service. These providers may receive technical and usage information about your visits.
  • Email and Communication Services: To deliver service notifications and support responses, we may share your email address and related data with trusted email delivery providers.
  • Authentication Providers: If you use social login (such as Google login), limited account data is shared as needed to authenticate and enable your account.
  • Public Content: Content you post publicly (like questions, answers, or reviews) may be visible to other users or the general public.
  • Legal and Compliance: We may disclose your information if required by law, to protect our rights, the rights or safety of users, or to enforce our terms.
  • International Transfers: Your information may be transferred to and processed in countries outside your own, including the United States and the European Economic Area. Our service providers (such as Google, OpenAI, and PayPal) apply their own safeguards to protect your data during these international transfers, as described in their privacy policies.

We do not sell your data or share it with third parties for unrelated marketing purposes. All third-party providers are required to process your data securely and only as needed for the specific purpose described above.

AI Training: User data submitted for analysis is not used to train or improve AI models by our providers or any third parties.

5. Data Security and Retention

a. Security Measures:

Access Control: Access to advanced analysis tools, documents, and sources is strictly limited to authenticated users. The system checks each action to confirm you are the registered owner of a project, source, or note before granting access. Your uploaded documents and sources are stored securely and are never accessible to other users.

b. Data Retention and Deletion:

We retain a record of each analysis you perform for 30 days to let you review your recent activity within the Service. This log includes your account ID, a copy of your request (text or image URL), the complete AI-generated result, the AI model used, the credit cost, the date, and technical information for troubleshooting. This activity log is automatically and permanently deleted from our systems after the 30-day period.

User-Controlled Deletion:

  • In Discourse Analyzer Simple, you can delete any AI answer at any time; deletion is immediate and permanent.
  • In Discourse Analyzer Advanced, you can delete data by removing individual sources or by deleting an entire project, which removes all sources under that project.
  • If you delete your account, all your data, including files, projects, sources, notes, and activity logs, is immediately and permanently deleted from active systems.

Some records (such as billing or account information) may be retained longer only if required by applicable law or for legitimate business purposes like tax or fraud prevention.

6. Your Rights and Control Over Your Data

We provide you with direct control over your information.

  • Access to Your History: Logged-in users can access a private “Response History” page that displays a complete record of past analyses. For each entry, you can view the original input, the full AI analysis, the model used, the date, and the credits used.
  • Full Control Over Project Data: Within the advanced tool, you can create, view, edit, rename, temporarily disable, or permanently delete any source or personal note within your projects at any time.
  • Right to Deletion: You have the right to permanently delete any entry from your response history or any source/note from your projects. When you delete an item, it is immediately removed from our database.
  • Right to Correction: You may update or correct your account information at any time through your profile or by contacting support.
  • How to Exercise Your Rights: You can exercise your rights through your account settings or by emailing [email protected]. We may verify your identity before processing requests and respond within 30 days.

7. Billing and Subscription Information

Your subscription and payment information are used exclusively for billing, access control, and service management.

  • Payment Processing: All payments are handled securely by trusted third-party payment processors. We do not store your full payment details on our servers.
  • Credit Management: The system checks your credit balance before performing any action that has a cost. If you have insufficient credits, the action will be blocked.
  • Usage Calculation: The number of credits deducted is calculated automatically based on your subscription plan and the specific AI model used.
  • Plan Limits: Your subscription plan dictates the maximum number of projects and sources you can create and maintain.
  • Automatic Refunds: If a request fails due to a technical error, the system is designed to automatically refund the credits that were deducted for that request.
  • Data Security: All billing and subscription information is transmitted over secure, encrypted channels.
  • Data Retention: We retain billing records as required by law for accounting and compliance purposes. If you delete your account, your billing information is deleted unless retention is required by applicable law.
  • User Control: You may review or update your billing and subscription information at any time via your account settings or by contacting support.
  • Purpose Limitation: Your billing and subscription information is never used for marketing or unrelated purposes.

8. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated “Effective Date” at the top. We do not provide separate notice of changes, so please review this Privacy Policy periodically to stay informed about how your information is protected.
